Privacy Policy

This Privacy Policy explains how Own Guide System LLP ("OGS", "we", "us") collects, uses and protects information across both OGS products: the OGS Smart Wallet platform (issued through your institution) and the OGS App (installed directly by individual users from Google Play or the App Store).

1. Scope: This policy covers two related but distinct products. The Smart Wallet platform processes data on behalf of the institution that issues it - the institution is typically the data controller, and OGS acts as a data processor under its instructions. The OGS App is used directly by individuals - parents, students, staff and transport teams - who create their own account, so OGS acts as the data controller for that app account directly.

2. Information we collect (Smart Wallet): When an institution onboards students, staff or employees onto the platform, we process the information provided by that institution to issue and operate a Smart Wallet - typically name, photograph, role or class, and tap records such as time, location and reader used. Where the platform is used for transport tracking, we also process device or vehicle location data shared by the institution's transport team.

3. Information we collect (OGS App): When you create an OGS App account, we collect the details you provide (such as name and email address), your role (parent, student, staff or transport team), and device information such as device type and a push-notification token so we can deliver alerts. With your permission, the app uses location data to power live tracking and bus-arrival features; this location data is only used to provide those features and is shared with your institution's administrators as intended by the app's purpose. The app may also collect basic diagnostic and crash data to help us fix bugs.

4. App permissions: The OGS App may request permissions for location (for live tracking and bus features) and notifications (for real-time alerts). You can review and change these permissions at any time in your device settings; some features will not work correctly if a required permission is declined.

5. How we use information: Tap, account and location data are used only to power the features you or your institution has enabled - access control, attendance, payments, live tracking and safety alerts - and to show usage analytics back to institution administrators where applicable.

6. Children's data: Where OGS is deployed in a school, the school acts as the data controller and is responsible for obtaining appropriate parental consent before a student is enrolled on the Smart Wallet platform or the OGS App. OGS processes student data solely on the school's instructions and does not use it for any purpose beyond operating the features the school has activated.

7. Data sharing and third parties: We do not sell personal data. Smart Wallet data is shared only with the institution that issued it. OGS App data is shared with your institution's administrators where the app's features require it (for example, sharing live location with a transport coordinator). We also rely on third-party infrastructure providers - such as cloud hosting, push-notification and analytics services - to operate the platform and app, under confidentiality obligations consistent with this policy.

8. Data retention: We retain data for as long as your institution's account or your individual app account remains active, plus a reasonable period afterward to meet legal, accounting or dispute-resolution needs, after which it is deleted or anonymised.

9. Data security: Data is protected using encrypted storage and access-controlled cloud infrastructure. Institutions and individual app users can request export or deletion of their data at any time, subject to any retention we are legally required to keep.

10. International transfers: Our infrastructure providers may process data outside India. Where this happens, we take reasonable steps to ensure it remains protected to a standard consistent with this policy and applicable law.

11. Your rights: Individuals may contact their institution's administrator (for Smart Wallet data) or OGS directly (for OGS App account data) to request access to, correction of, or deletion of the data held about them, subject to applicable law.

12. Changes to this policy: We may update this policy from time to time; material changes will be reflected by updating the date this page was last revised.

This is a template policy provided for convenience and should be reviewed by qualified legal counsel before publication, particularly regarding children's data protection obligations, app permission disclosures, and any requirements specific to your jurisdiction (such as India's Digital Personal Data Protection Act, 2023).
